NOTE these IMPORTANT DETAILS:
Deadlines
Feb. 15 - $100 assessment payment for 50th Celebration    (Hospitality room, brunch, souvenirs/keepsakes, teacher appreciation, souvenir program, minimum $500 local JW Ligon Class of 1968 scholarship)
April 15$80 payment of Alumni Association event activities ( Sat., night dinner/dance & Sunday cookout)

  1. No November class meeting;
  2. December fellowship meeting only; discussion only, no business will be transacted: December 9, 1 PM, tentative location D&S Cafeteria, Helen Montague will coordinate.
  3. JANUARY MTG – IMPORTANT MTG RE: VOTING FOR CELEBRATION VENUE. The class unanimously decided that a quorum constitutes the persons present.

Venues Options:
Toney Bethea reported that the St. Augustine’s University (SAU) venue is $500 day; catering cost per ABL Enterprises,  SAU caterers,  is $6 per person if classmates go to the cafeteria for meal rather than have meal served in the program ballroom area. Manager indicated that student workers were available to carry food to those w/mobility constraints.  ABL Enterprises has served as the caterer for CIAA. A sample tentative minimal menu buffet could include grits, eggs, sausage; bacon; breads; beverages.  Additional information needed regarding this SAU venue: tables, chairs, PA system, stage area, dance floor,  & other amenities included in the venue $500 cost; additional cost of having buffet on ballroom level; availability of alcohol during event.

Janet Howard refreshed the information re: the Westing Center, 2200 Westinghouse Blvd, Raleigh, NC  27604.  This venue is managed by the son of our classmate, Carolyn Lee Bray.  Center details:
$400 for 8 hours normally $175 per hour
Center provides chairs and tables, but no set-up, break down or decoration; dance floor & DJ & PA systems provided
Site has liquor license & all sales from Cash Bar are the Center’s
Private caterer allowed
A tour of facility can be arranged
Another venue option included Thomas G. Crowder Woodland Center, 5611, Jaguar Park Dr, Raleigh, NC 27606 (https://www.raleighnc.gov/parks/content/ParksRec/Articles/Parks/TGCWoodlandCenter.html) that provides tables, chairs, allows private caterer, beer & wine (with license), costs vary from $75/hr to $200/hr depending on spaces reserved, e.g., deck, gallery, bird walk, warming kitchen, dogwood room, etc.
Extended discussion included Larry’s Country Kitchen as a venue and a review of the minutes that confirmed there was no final vote to confirm that location as the Celebration site.  After consensus was reached that any location selected must provide a private room setting for class activities along with a venue representative of our 50th Reunion significance, it was unanimously decided that it was time to limit venue investigation to final candidates for the event.
Toney Bethea moved that the class limit its search to the following three (3) venues: St. Augustine’s University, the Westing Center, and the Thomas G. Crowder Woodland Center and that reports be received for a vote at the January 2018 meeting.  Michael Corbett seconded the motion and the motion passed unanimously.
There was additional discussion regarding the menu for the celebration.  Suggestions included fruit, eggs, bacon, sausage, grits, shrimp & grits, hash browns, omelets, frittatas, quiche, breads, beverages, mimosas
Keepsakes/Souvenirs: Carolyn Ratliff represented information regarding the 50th Reunion tee-shirt: colors: navy blue and gold; the front center will have our class ring design.  The company’s proposed cost ranges from $10 - $12 per shirt.
Association updates: Geneva Rogers Hill, the class Alumni Association rep, announced that the Association is having a ‘ Mr. or Ms  JW Ligon’ Contest for the JW Ligon Alumni Association Scholarship Fund; the class suggested that our representative could be Clarence Williams, who declined.  Another Association scholarship possibility includes a baby contest with 10% to applicant.
Silent Auction:  Janet and Toney are investigating online silent auction software; however, they will post items with this meeting’s minutes.
Janet will also post the names of classmates who are in the current database.
Announcements: Clarence Williams reminded the class of the proposal to the City of Raleigh of moving the AACC (Sunnybrook RD, curated and founded by Dr. Palmer), to Dix property.  Clarence encouraged members to connect with him for more information.  He also reminded us that Bettie Murchison is the chair NC History Museum AA Festival committee and invited submissions for participants.

Following extended discussion of the type of celebration event – brunch, lunch or evening dinner dance, Corbett suggested that we poll classmates for feedback and that we bring thoughtful ideas to the next meeting.  He reiterated that the event must require limited physical activity from the Raleigh group so that they too can enjoy the activities.

Celebration programming – Committee volunteers needed.

Celebration souvenirs - Carolyn Ratliff and Helen Montague will coordinate this effort by suggesting some appropriate items and costs.

Alumni Association annual dues disbursement: Class confirmed that the treasurer, Esther Delany, will forward an $80 check to the Alumni Association for annual class dues and reimburse Geneva Rogers Hill $40 that she has paid. Geneva sent a written report that included the Washington Alumni Association activities planned for the Labor Day, September weekend.  They are requesting the support of Ligon alums; dinner/dance $45 per person and cookout $25.  Deadline to purchase tickets in Sat., August 19th.
